If your business already uses Microsoft 365, Microsoft Forms is probably enough for internal work: staff surveys, quizzes, sign-ups, and simple requests. Its response limits on business accounts are very high, and Microsoft includes it in its Microsoft 365 Business Basic, Standard, and Premium plans, among others.

Adding Jotform makes sense when a form faces customers and has to do more than collect answers. The clearest cases are taking payments, accepting file uploads from people outside your organization, and collecting signatures.

This comparison is based on Microsoft’s support documentation and Jotform’s published pages as of October 13, 2026. We haven’t tested either product hands-on, and we’ve left out Microsoft Forms features we couldn’t confirm from Microsoft’s own pages.

Quick verdict

Microsoft Forms is enough if:

  • The people filling out your forms are mostly inside your organization
  • You need surveys, quizzes, polls, or simple request forms
  • You want responses in Excel
  • You don’t take payments through forms

Consider adding Jotform if:

  • Customers or the public need to upload files
  • You want to take payments or deposits in the form
  • You need signed documents or multi-step approvals
  • You want forms styled to match your brand
  • You need HIPAA features from your form tool

Limits: Microsoft Forms is generous on volume

Microsoft’s limits page gives these figures:

Microsoft Forms (Microsoft 365 business and education)Microsoft Forms (personal account)Jotform Starter (free)
Number of formsUp to 400Up to 4005
Questions per formUp to 200Up to 200100 fields
ResponsesUp to 5,000,000 per form200 per form free, 1,000 paid100 a month, account-wide

Sources: Microsoft Support, “Form, question, response, and character limits in Microsoft Forms,” and Jotform’s pricing page.

On a business account, volume isn’t the constraint with Microsoft Forms. Jotform’s free plan stops at 100 submissions a month, and its paid plans run from 1,000 to 10,000 a month.

Two details from Microsoft’s page are worth knowing. Above 50,000 responses, some features stop being supported for that form, including summary charts and viewing individual responses on the Forms site. And if a form reaches its limit, Microsoft’s suggestion is to export responses to Excel and clear them.

Personal Microsoft accounts are a different story. A free personal account is limited to 200 responses per form, which a public-facing form can use up quickly.

Where Microsoft Forms stops

File uploads work only inside your organization

Microsoft’s documentation says the file upload question is “only available when ‘Only people in my organization can respond’ or ‘Specific people in my organization can respond’ is the selected setting.”

For an internal expense form, that’s fine. For a job application, a customer claim, or a client intake form, it means outside respondents can’t attach anything. Within that setting, a question can take up to 10 files, with a size limit you choose of 10 MB, 100 MB, or 1 GB per file.

Jotform includes file uploads on every plan, with total upload space set by plan: 100 MB on the free plan and 1 GB on Bronze.

Branching runs one way

Microsoft Forms supports branching, which sends respondents to different questions based on their answers. Microsoft notes that you can only branch to a later question, not back to an earlier one.

Jotform’s conditional logic can show or hide individual fields, change which emails go out, and change the thank-you message, according to its features page.

Payments

We didn’t find payment collection in the Microsoft Forms documentation we read. If you need to take a deposit or sell something through a form, confirm with Microsoft whether your plan offers a way to do it.

Jotform supports payments on every plan through processors including Stripe, PayPal, and Square, and says it charges no transaction fee of its own. The free plan allows 10 payments a month.

Advanced needs point to another Microsoft product

Microsoft’s service description says branding customization in Forms is limited, noting that the user can only change the image. Themes are available.

Microsoft’s own limits page carries a tip for people who want “more advanced branding, question types, and data analysis”: it suggests Dynamics 365 Customer Voice. That’s a separate product. We didn’t review it or its pricing.

Where Microsoft Forms fits well

Inside Microsoft 365. Responses can be exported to Excel, and Microsoft’s documentation describes polls created in Teams, Outlook, and PowerPoint. For a team that works in those apps all day, a form that lives there has less friction than one from another vendor.

Group ownership. Microsoft says a team can create up to 400 group forms in addition to each person’s own 400. Jotform’s standard plans are single-user, and its help center says inviting team members requires Enterprise.

Cost. Microsoft’s service description lists Forms in Microsoft 365 Business Basic, Standard, and Premium, in its enterprise and education plans, and for personal Microsoft accounts. If your subscription is one of those, Forms is part of it. We didn’t check what those plans cost, and licensing can vary by organization, so confirm with whoever manages your Microsoft account.

Automation and collaboration. The same Microsoft page lists co-authoring a form with colleagues and building automated workflows with Power Automate among Forms features on business plans.

What Jotform adds, and what it costs

Beyond the items above, Jotform’s product includes e-signatures through Jotform Sign, approval workflows, PDF generation from submissions, more than 20,000 templates, and custom CSS. It offers HIPAA features on its Gold and Enterprise plans, where they have to be enabled on the account.

The free plan covers 5 forms and 100 submissions a month. Paid plans start at $39 a month, or $34 a month billed yearly. The details are in our Jotform Pricing guide.

Adding Jotform doesn’t mean leaving Microsoft Forms. Many businesses could reasonably keep Microsoft Forms for internal surveys and use Jotform for the few customer-facing forms that need payments, uploads, or signatures. That keeps the Jotform plan small.

Security and data

Both vendors publish security and compliance information, and for a Microsoft 365 business, form data in Microsoft Forms stays within the environment your IT team already manages. That can matter more than any feature.

Jotform’s security page states PCI DSS Level 1 compliance and compliance with GDPR and CCPA, and says data is hosted in the U.S. and the EU. We didn’t review Microsoft’s compliance documentation for Forms. If you have specific requirements, compare each vendor’s current documentation.

Who should choose which

An office running staff surveys and internal requests. Microsoft Forms, if it’s in your plan.

A school or training team running quizzes. Microsoft Forms is designed for it.

A business that needs customers to upload documents. Jotform, because Microsoft Forms limits uploads to people in your organization.

A business taking deposits or payments by form. Jotform.

A business with both needs. Use both, and keep Jotform for the outward-facing forms.

If you have a customer-facing form that Microsoft Forms can’t handle, Jotform’s free plan is enough to test it. See Jotform’s free plan and current limits

FAQ

Is Microsoft Forms free? Microsoft includes it in Microsoft 365 Business Basic, Standard, and Premium and in its enterprise and education plans, and makes it available to personal Microsoft accounts. Free personal accounts are limited to 200 responses per form.

Can people outside my organization fill out a Microsoft Form? Yes. Microsoft’s service description says forms can be sent outside an organization on business plans. File upload questions, though, work only when responses are limited to people in your organization.

Can Microsoft Forms take payments? We didn’t find that in Microsoft’s Forms documentation. Check with Microsoft for your plan.

Can I use Jotform with Microsoft 365? We didn’t review Jotform’s Microsoft integrations for this article. Check Jotform’s integrations list for the specific apps you use.
